The agreement between your business and Pubbit when Pubbit works on your venue's marketing: your website, posts, newsletters, posters and Google.
Last updated 19 October 2026 · Draft: to be checked by a solicitor before launch
Who we are, and who these terms are for
Pubbit is run by PUBBIT LTD, a company registered in England and Wales under company number 17510943, with its registered office at 128 City Road, London, EC1V 2NX. In these terms "Pubbit", "we" and "us" mean that company.
"You" means the business that signs up. "Your team" means the people you or we give a login to for your business. A "venue" is each pub, bar, café, restaurant or other place you run on Pubbit.
You can reach us at help@pubbit.co.uk, or through Support on app.pubbit.co.uk.
Pubbit is sold to businesses only. By signing up you confirm that you're acting for a business that runs, or is about to run, a hospitality venue (not as a consumer), and that you're allowed to agree to these terms on its behalf. Because of that, the extra rights the law gives consumers don't apply.
What Pubbit does
Pubbit is a service: an AI marketing team for your venue. You tell Pubbit what's happening, and it does the work. For each venue that can include:
a website, kept up to date with your menus, opening hours, what's on, offers, live sport and photos;
social posts for Facebook and Instagram, and posting them for you if you connect your Page;
newsletters to your mailing list, and texts where you use them;
posters and table talkers to print;
the technical side of being found on Google, and steps for your Google profile;
a gallery for photos your customers share, ticket sales, group bookings, and links to your table booking provider;
where you connect a till, a read-only look at your sales.
You can talk to Pubbit in the app, by WhatsApp, or by email or text where those are switched on. Each venue has its own subscription.
We keep improving Pubbit, so what it does will change over time. We won't take away something central to what you're paying for without telling the account holder at least 30 days before.
What Pubbit writes for you, and checking it
Pubbit uses AI to write and suggest things: website wording, posts, newsletters, menus typed up from a photo, sport to show, ideas and replies. It works from what you and your team have told it. AI can get things wrong, so everything it writes is a draft for you to check.
Most things wait for your yes. Changes to your site, newsletters and posts don't go live or out to your customers until someone on your team has checked them and said so.
Some things carry on by themselves once you've agreed: for example posting the week's posts you've said yes to, adding your sport picks each week if you switch that on, or taking prices from your till. You can switch these off at any time.
Answers to customers' questions on your site are written by Pubbit from the details you've entered, and say when they don't know. Keep your details up to date so the answers are right.
You're responsible for what goes live and for what you ask Pubbit to publish: prices, hours, allergens, age limits, offers, claims about your venue, and anything your licence or advertising rules require. Pubbit's standard notices (such as allergens or Challenge 25) are general wording; check them against your own licence and the law where you are.
Each venue has a monthly allowance of AI help. When it's used up, you can still type your own wording, and it renews at the start of the next month.
Your account and team
Each venue belongs to your business account. The account holder can do everything, including billing, and is who we discuss billing and sensitive matters with. Admins run every venue and add managers. Managers run the venues they're given. Marketing people can share posts and send newsletters for the venues they're given, but can't change the website or see your sales.
Everyone has their own login. Keep sign-in details private and tell us straight away at help@pubbit.co.uk if you think someone else has got in.
You're responsible for what your team does in Pubbit, including by WhatsApp, and for taking away access when someone leaves.
Only Pubbit changes a venue's name and address, so they can't be changed by mistake. Ask us through Support.
Your details must be accurate and kept up to date, especially the account holder's email, as that's where we send notices.
Free trial and paying
Your business's first venue starts with a free trial of 30 days. We take card details at the start and charge nothing during the trial. We email the account holder about a week before it ends.
When the trial ends, the subscription carries on and the card is charged monthly, for each venue, at the price shown when you signed up, unless you've cancelled before then. Venues you add later, and venues you take over from someone else, are charged from the day they're added, with no free trial.
Payments are taken by Stripe. We never see or store your full card number. Account holders can change the card and see invoices from Billing.
Pubbit is not VAT registered, so no VAT is added to our prices. If that changes, we'll tell you before VAT is added.
If we change the price, we'll email the account holder at least 30 days before it applies to you, so you can cancel first if you'd rather.
Pubbit may offer a venue a longer free trial. If we do, Billing shows it.
Missed payments
If a payment doesn't go through, Stripe tries again, and the account holders are told by email (and by text, if they've given a mobile). The website keeps running at first. Counting from the day the payment was missed:
day 3: a reminder;
day 7: the admin becomes read-only until it's paid (Billing still works, and the website stays up);
day 14: the website is paused, showing a simple holding page;
days 60 and 83: reminders that the website will be deleted, with the date;
day 90: the website and everything in it (content, photos and the mailing list) is deleted, and the subscription is cancelled.
Paying at any point before day 90 brings everything straight back. After deletion the venue's pubbit.co.uk address is freed for others 30 days later.
Cancelling
The account holder can cancel any venue's subscription at any time, from Billing on app.pubbit.co.uk.
Cancelling takes effect at the end of the billing month you've already paid for. We don't refund part months. Cancelling during the free trial means you aren't charged at all.
An account holder can instead remove a venue straight away. The website comes down and billing stops at once; the current month isn't refunded.
When a subscription ends, the website is paused and its admin stops working. For 90 days you can restart it from Billing and everything comes back as it was. If it isn't restarted, everything is deleted 90 days after it ended. We email the account holder a week before.
Before then, account holders can download the mailing list, and you can ask us for a copy of your content (see Ending the agreement).
If your venue changes hands
If you sell your venue or a new tenant takes it on, the new owner can take it over through a link from us. When they've paid, the venue moves to their business as it is (its website, content, photos and mailing list) and your subscription for it ends with nothing refunded. Ticket payouts to your Stripe account are disconnected. Nothing changes until they've paid, and we tell your account holders.
We only move a venue on clear proof of who now runs it. If an account holder has died or can't be reached, we can put the venue on hold, so nothing is deleted while it's sorted out.
Your content
Everything you put into Pubbit stays yours: your words, menus, prices, photos and your mailing list.
You give Pubbit a non-exclusive, royalty-free licence to store, copy, resize, format and adapt it, and to show and publish it on your website and in what Pubbit makes for you (posts, newsletters, posters, search results and the services you connect), only to provide the service, for as long as you use Pubbit and while backups clear afterwards.
Posts already published to Facebook or Instagram stay there until you remove them, as they're on your own Page.
Only put up words, photos, music names, logos and other material you have the right to use, and make sure it's accurate and lawful.
We can take down anything that's unlawful, harmful or clearly breaks someone else's rights, and we'll tell you when we do.
If you send us suggestions for improving Pubbit, we can use them freely.
Your customers' photos
Customers can share photos from the QR code page at your venue. They're shown only to people on your mailing list, in your venue's gallery. A photo goes on your website or social posts only if the customer ticked to say they're happy for that, and Pubbit only offers those.
The customer keeps the rights to their photo. Their tick is their permission to your venue; respect it, and take a photo down if they ask.
You can check photos before they appear, and remove any at any time.
Pubbit holds these photos for you, as part of your venue's data (see Data processing terms).
Fair use
Please don't use Pubbit to:
break the law, or help someone else to;
email or text people who haven't agreed to hear from you;
publish anything misleading, defamatory, discriminatory, obscene or offensive, or that encourages irresponsible drinking;
pretend to be another person or business, or run a venue that isn't yours to run;
upload anything harmful (such as malware), try to get into anything that isn't yours, copy or resell Pubbit, or overload or disrupt the service.
If something breaks these rules, we may remove it or suspend the venue concerned (see Suspending a venue).
Services you connect
Pubbit works with other companies' services that you choose to connect. Their own terms apply between you and them, and Pubbit isn't responsible for what they do, change or stop doing.
Facebook and Instagram: you connect your Page through Meta's own sign-in, so Pubbit never sees your password. Pubbit then posts only the posts you've said yes to, on their day. The key Meta gives us is kept encrypted, and disconnecting removes it and tells Meta to withdraw Pubbit's permission.
WhatsApp: you can link your own WhatsApp number to message Pubbit. A change sent there goes live only when you tap to put it live, and your team's roles still apply. Send STOP to unlink.
Google: Pubbit does the technical side of being found and gives you steps for your Google profile, but you control your profile. Google decides what it shows, so we can't promise rankings or results.
Your till (Square or Epos Now): read only. Pubbit never changes anything on your till. Where an item is linked, your till's price is shown on your menu. Pubbit keeps sales as totals for each item by hour and day, never a single sale, a customer or a card. Your keys are kept encrypted.
Table bookings: Pubbit links to the booking provider you choose. Pubbit doesn't take or manage bookings, so it isn't responsible for them.
Tickets
If you sell tickets through your website, you connect your own Stripe account (Stripe Connect), and the money goes to that account and into your bank. You are the seller of the tickets, not Pubbit: the event, refunds, cancellations, customer questions and any tax are yours to deal with, under Stripe's terms and the law. Pubbit takes no share of ticket money and holds only your Stripe account's id. You set how many tickets are sold online; your door can sell too, so Pubbit never tells customers how many are left.
Your own web address
Every venue gets an address on pubbit.co.uk, and you can use your own web address (such as www.yourvenue.co.uk) at no extra cost. Pubbit never buys or holds a domain for you. It's always bought and kept in your name, with the domain company you choose, and keeping it renewed is up to you. You point it at Pubbit by changing two settings there, and you can point it elsewhere at any time by changing them back or to your new provider's. While you're with us, the pubbit.co.uk address keeps working and forwards to your own.
Suppliers and acts
Pubbit may show you deals from local suppliers and entertainment acts. We introduce you and step out: any agreement is between you and them, and Pubbit isn't responsible for their products, prices or performances. Pubbit takes no cut. Your details only go to a supplier or act when you ask them to get in touch.
Keeping it running, and support
We use reasonable care and skill to keep Pubbit and your website running and secure, and we back up the database every day.
Like any online service, it may sometimes be unavailable or slow: for maintenance (which we try to do at quiet times), or because of a problem at a service we rely on. We don't promise any particular uptime, but we'll put things right as quickly as we reasonably can.
Support is by Support on app.pubbit.co.uk or email to help@pubbit.co.uk. We reply as soon as we can on working days.
What's ours and what's yours
Pubbit itself stays ours: the software, the designs, looks, templates, icons, font packs, the picture library, post and poster layouts, and everything we build to run it. You may use them only as part of the service while you subscribe. Your content stays yours (see Your content), and so do the words and pictures Pubbit makes from it for your venue once they're published: you can keep using posts, newsletters and posters you've already published or printed after you leave, but not the designs or templates to build a new site.
Data protection
Both of us will follow UK data protection law (the UK GDPR and the Data Protection Act 2018).
For your own accounts (you and your team), Pubbit is the controller. Our privacy policy explains what we collect and why.
For your customers' data (your mailing list, messages sent through your site, photos shared to your gallery, ticket buyers, group bookings, and customers' questions on your site), your business is the controller and Pubbit is your processor. The data processing terms below apply.
You're responsible for having a lawful reason to use your customers' data, for your own privacy notice to them, and for only emailing or texting people who have ticked to hear from you.
Data processing terms
These apply whenever Pubbit handles personal data for you as your processor.
What and why: Pubbit stores and uses your customers' names, email addresses, mobile numbers, what they agreed to and when, their photos and consent ticks, ticket buyers' names, group booking names and food choices, and questions asked on your site, to run your venue's website, mailing list, newsletters, texts, gallery, tickets and group bookings, for as long as you use Pubbit.
Only on your instructions: we use it only to provide the service and as you direct through Pubbit, never for our own marketing, and we never sell it. If the law requires us to do anything else with it, we'll tell you first unless the law forbids that.
Confidentiality: everyone at Pubbit who can see it is bound to keep it confidential, and only sees what they need for the job.
Security: we keep appropriate technical and organisational measures in place, described in the privacy policy.
Other companies we use: you agree that we can use the companies listed in our privacy policy to help provide the service. Each is bound by a written contract with data protection terms at least as protective as these. We'll update that list, and tell account holders, before adding or replacing one that handles your customers' data, so you can object.
Outside the UK: where data goes outside the UK, we make sure it's protected by safeguards the UK recognises.
Helping you: we'll help you answer your customers' requests (for example, to see or delete their details), and with security, breach reports and any data protection impact assessment, as far as is reasonable given what we do.
Breaches: if we become aware of a personal data breach affecting your customers' data, we'll tell you without undue delay, with what we know.
At the end: when a venue is deleted, its customers' data is deleted too, apart from backups, which clear within 35 days, and anything the law requires us to keep. You can download your mailing list at any time before then.
Checking: we'll give you the information you reasonably need to show we keep to these terms, and answer reasonable questions about them.
Liability
Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for anything else the law doesn't allow to be limited.
Otherwise, Pubbit isn't liable for any loss of profits, sales, business, revenue, bookings or customers, loss of goodwill or reputation, loss of data you could have kept a copy of, or any indirect or consequential loss.
Pubbit isn't liable for loss caused by something you or your team published or approved, including AI-written wording you put live; for what a service you connect (such as Meta, Google, your till, Stripe or your booking provider) does or stops doing; or for events beyond our reasonable control.
Our total liability to you, for everything arising from these terms in any way, is limited to the fees you paid Pubbit in the 12 months before the claim arose.
Content you supply
If someone makes a claim against Pubbit because of content you or your team supplied or asked Pubbit to publish (for example, a photo you didn't have the right to use, or a misleading or defamatory claim), or because you emailed or texted people without their agreement, you'll cover Pubbit's reasonable losses and costs from that claim. We'll tell you about the claim promptly, let you take part in dealing with it, and not settle it without asking you.
Suspending a venue
We may suspend a venue, or remove content, if you seriously or repeatedly break these terms, if it's needed to protect the service, other customers or the public, or if the law requires it. Where we can, we'll talk to you first and give you a chance to put it right. We'll lift a suspension once the problem is sorted. A suspension for a missed payment follows the timetable under Missed payments.
Ending the agreement
You can end this agreement at any time by cancelling every venue's subscription.
We can end it, or the service for any venue, with at least 30 days' notice to the account holder by email. If we do, we won't charge for any time after it ends and we'll refund anything you've paid for that time.
We can end it straight away if you seriously or repeatedly break these terms and don't put it right when asked, or if your business becomes insolvent or stops trading.
However it ends, the cancellation and deletion timetable above applies, so you have time to take your content and list with you. While a venue's data is still held, account holders can download its mailing list, and we'll send a copy of its content (menus, text and photos) on request.
Sections that by their nature should last after this agreement ends do so, including those on liability, content you supply, data processing and the law that applies.
If Pubbit closes the service or stops trading
If we decide to close Pubbit, or to stop trading:
Notice: we'll tell every account holder by email at least 30 days before the service ends, and longer wherever we can.
No more charges: we'll stop taking payments for any time after the service ends, and refund anything you've paid for that time.
Your content: from the notice until at least 30 days after the service ends, account holders can ask us for a copy of each venue's content: menus and text, photos, and the mailing list with each person's consent record, in common formats (such as a spreadsheet and image files). Your mailing list stays yours; we won't pass it to anyone else.
Your own web address: it's yours, so you keep it. To move your website, sign in at your domain company and point the www setting at your new provider. We'll send the steps with the notice. The pubbit.co.uk address stops working when the service ends.
Deleting data: after that period we'll delete your venues' data, apart from what the law requires us to keep (such as billing records), and backups, which clear within 35 days.
If Pubbit becomes insolvent, an administrator or liquidator may take control of the company, and we can't promise what they will do. But your content and your customers' data are yours, held by Pubbit only for you; they aren't Pubbit's to sell. These terms, including this section, bind anyone who takes them over.
Changes to these terms
We may update these terms as Pubbit or the law changes. If a change matters to you, we'll email the account holder at least 30 days before it applies, so you can cancel first if you don't agree. Carrying on using Pubbit after that means you accept the new terms. Small changes that don't affect you (fixing typos, clearer wording) can apply straight away.
General
Transferring the agreement: we may transfer this agreement to another business that takes over Pubbit, as long as it takes on these terms; we'll tell you. You can transfer it only with our agreement in writing, or for a venue through the change of owner route above.
Notices: we'll send notices to the account holder's email address. Send yours to help@pubbit.co.uk; formal legal notices can also go by post to our registered office. An email counts as received when it's sent, or the next working day if it's sent outside working hours.
Whole agreement: these terms, the price shown when you signed up, and our privacy policy as it applies to you, are the whole agreement between us about Pubbit, and replace anything said or written before. Neither of us relies on anything not in them.
Things beyond our control: neither of us is responsible for a delay or failure caused by something outside our reasonable control, as long as we tell the other and do what we reasonably can.
If part doesn't stand: if a court finds part of these terms can't be enforced, the rest still applies.
Not insisting: if either of us doesn't enforce a right straight away, we can still enforce it later.
Only us: nobody else has rights under these terms under the Contracts (Rights of Third Parties) Act 1999.
The law that applies
These terms are governed by the law of England and Wales, and the courts of England and Wales settle any dispute about them. If something's wrong, please talk to us first at help@pubbit.co.uk: we'd much rather sort it out.
